How to run property viewings without double-bookings or no-shows

Every no-show costs staff time and slows lease-up. The fix is not more phone tag — it is giving prospects a self-service booking flow with real availability behind it.

Publish real availability

Connect viewing slots to the same calendar your team uses internally. When a slot is booked online, it should disappear everywhere else instantly so double-bookings never reach the property.

Confirm immediately

Send a confirmation email with date, time, address, parking notes, and who will meet the prospect. Include an add-to-calendar link when possible.

Remind 24 hours and 2 hours before

Two lightweight reminders — one the day before, one a few hours ahead — are enough to cut no-shows without feeling spammy.

Capture enquiry details upfront

Ask for name, phone, and move-in timeframe at booking time. Your team walks into every viewing knowing who they are meeting and what the prospect needs.
