Five invoices every landlord should automate this year

Recurring rent is obvious — but service charges, late fees, utility recharges, and renewal deposits benefit just as much from templates and scheduled sends.

Manual invoicing works until you manage more than a handful of units. These five invoice types are the highest-leverage automations for growing portfolios.

1. Monthly rent

Schedule rent invoices to generate and send on the same day each month, with pro-rata rules for mid-month move-ins.

2. Late payment fees

Apply fees automatically when grace periods expire, with clear descriptions tenants can see on their statement.

3. Service charges and CAM

Quarterly reconciliations are easier when base templates exist and adjustments post as separate line items.

4. Utility recharges

Attach meter readings or allocation formulas so tenants understand variable amounts without calling the office.

5. Deposit and renewal invoices

Trigger deposit top-ups or renewal premiums from lease events so nothing is forgotten at handover.
